AI economics

AI saved the hours.
Where is the money?

A faster process is a useful result. It is not automatically a reduction in the cost of running the business.

Three different reasons to invest

AI can reduce expenses, release staff time, or help a business take on more work. Each can be valuable, but they require different evidence.

Faster reporting may give the team more time to review exceptions or speak with clients. Unless an expense falls, the payroll saving is still zero. The benefit is capacity, quality, or service.

Additional revenue is another step again: the business needs demand for more work and the ability to deliver it profitably. A business case should not count the same saved hour as both an avoided salary cost and capacity for extra sales.

The gap between $103,680 and $1,512

Take the illustrative workflow in our AI business-case example . After adoption and review, the team recovers 1,728 hours annually. At $60 an hour, that is $103,680 of capacity.

If 30% becomes avoided spending, annual cash savings are $31,104. Allow for a three-month rollout, $12,000 of recurring costs, and $15,000 to implement it, and first-year net cash benefit falls to $1,512.

The technology may be doing its job. The question is whether the business can put the released capacity to sufficiently valuable use.

Measure the whole workflow

A pilot should count the time spent preparing inputs, checking outputs, fixing errors, and handling exceptions. It should also show whether people actually use the new process.

Then identify the economic benefit: reduced outside spending, less overtime, a hiring need avoided, faster delivery, or better service. Give someone responsibility for checking whether that benefit occurs.

Choose the case you are funding

A workflow that improves quality can be a sound investment without cutting costs. A capacity project can make sense even when there is no immediate revenue growth. The important thing is to be clear about the objective, the cost, and how success will be measured.
